For attendees 14 min read Updated

The attendee app puts everything about your event on your phone. It runs in your phone's browser, so you do not need an app store, and you can add it to your Home Screen so it opens like any other app. Your travel, hotel and registration come from the record the organiser holds for you. You have no HAPR account, and you only ever see your own details.

Get to the app

Use one of these.

  • Open the app link or scan the QR code the event team sent you. It takes you to that event's sign-in.
  • Go to the app's main address and press Have an event code? on the sign-in page.

If you have an event code instead, follow the next section.

Open the app with an event code

  1. 1
Type your event code under What is your event code? It has eight letters and numbers, for example K7QM-4XNP. Codes never contain 0, O, 1, I or L.
  2. 2
Press Open the app. If you type the last character yourself, the app checks the code for you.
  3. 3
You land on that event's sign-in page.

Find your code on your invitation, the event page or the screen at the venue. Open Where do I find my code? for the same hint. If you are already signed in, press Already signed in? Go to my events.

The code only takes you to the sign-in page. You still need your email code to get in.

  1. 1
Open the sign-in page. Under What is your email? type the email address you registered with.
  2. 2
Press Send me a code. HAPR emails a 6-digit code from [email protected].
  3. 3
Type the code into the six boxes. The app signs you in when the last digit is in, or press Sign in.

The code expires after 15 minutes. If nothing arrives, check your spam folder. To start again with another address, press Use a different email. To get a new code, press Resend code. You can ask again after a 30 second wait, shown as Resend in 30s.

The code only goes to the email address on your attendee record. The app does not say whether an address is registered, so you see the same screen either way.

You stay signed in on that phone for up to 30 days, or until you sign out. See Sign out.

Choose your event

If your email is registered for one event, the app opens it straight away. If it is registered for several, you see Choose your event with the name of each one.

  1. 1
Press the event you want. The list shows 20 events at first. If yours is missing, press the button under the list that starts Show all.
  2. 2
To leave the list, press Not you? Sign out.

Each event has its own sign-in, so signing in to one event does not open another.

Add the app to your phone

The sign-in page and the Overview both offer the steps. On the sign-in page press How to install the app. On the Overview, use the Install this app line. On Your details, press Install the app on your phone.

The Install the app page works out your phone and shows only its steps. Press Android or iPhone at the top to see the other phone's steps.

Android with Chrome

  1. 1
Press Install or Install the app if the button shows. Chrome does the rest.
  2. 2
If it does not show, open Chrome's menu (the three dots) and press Install app. Some phones say Add to Home screen.
  3. 3
    Press Install to confirm.
  4. 4
Open the app from your Home screen or your app list.

iPhone or iPad with Safari

iPhone has no install button, so the steps happen in Safari's own bar.

  1. 1
Press Share. On newer iPhones, press the three dots next to the address bar first. On iPad, Share is at the top right.
  2. 2
Press Add to Home Screen. If it is missing, scroll to the bottom and press Edit Actions to add it.
  3. 3
Press Add. If you see Open as Web App, leave it on.
  4. 4
Open the app from its new icon on your Home Screen.

If the page opened inside another app, such as a chat or social app, open it in Safari or Chrome first. The page shows a line telling you which. On a computer, scan the QR code with your phone's camera. Once the app is installed, the page says so and offers Send this page to another phone.

Press the X on the install line to hide it on that phone.

Find your way around

The bar at the bottom has your tabs.

TabWhat you find

Two links sit at the foot of every screen. Your privacy and Your details each hide on their own screen. The bar at the top shows the event's logo or name, and the sign out button.

Check your travel and hotel

Press Travel. A strip at the top says what comes first, such as your next flight, and how many days away it is.

Under Flights, each flight shows the airline, the cabin, the two airport codes, the date and the time when the booking has one. A flight with several legs says so. A flight that has gone shows Done.

  1. 1

Press Schedule.

  1. 1
When the event runs over several days, press a day at the top. The app opens on today, or on the first day still to come.
  2. 2
Read each session. You see its time, title, place and track, and how long it lasts.

The session on now shows Now with a progress bar. The next one shows how long until it starts. A session that is over fades and says Over. Press Jump to now to scroll back to the current session.

Before and after the event, a line under the day says The event starts tomorrow., The event starts in a number of days, or This event has finished.

Turn on alerts

Press Alerts to read what the event team sent you, newest first and grouped by day. New ones show a coloured bar, and a count such as 2 new shows at the top. They count as read once you have seen them.

  • Press Show more under a long alert to read it all.
  • Press the refresh button, Refresh alerts, to check for new ones. The list shows your latest 50.
  • When the app is open and an alert arrives, a message says You have a new alert. Press View to read it.

To hear about alerts when the app is closed, use the card at the top of the screen.

  1. 1
Under Alerts are off, press Turn on. Press See an example first if you want to see what an alert looks like.
  2. 2
Allow notifications when your phone asks.
  3. 3
The card then says Alerts are on for this phone. Press Turn off to stop them.

You can turn alerts on for up to five phones. On iPhone and iPad, alerts reach you only from the app on your Home Screen, not from Safari. The card says so and offers Show me how. Add the app to your Home Screen first, then open it from there.

If you blocked notifications, the card says Alerts are blocked in your browser or phone settings. Open the settings for this app or site, find Notifications, allow them and come back. The card updates by itself.

Press Gallery. It shows the photos the organiser published, with a count at the top.

  1. 1
Press a photo to open it full screen.
  2. 2
Swipe to move between photos, or press Previous photo and Next photo.
  3. 3
Press Zoom in and Zoom out, or double tap, to look closer.
  4. 4
Press Share photo or Save photo to keep one. Drag down or press Close the photo to return.

A photo with a caption shows a small mark, and the wide photos show the caption on them. If a photo does not load, press it to try again.

Check your details

Press Your details to see what the organiser holds for you.

  • The top of the screen shows your name and registration status.
  • About you lists your email. Press the copy button beside it to copy it.
  • Your trip lists your group and subgroup, your room preference and your visa status. Only rows with something in them show.
  • Travel documents shows your passport or ID number with only the last three characters visible.

  4. 4
Under Pages saved on this phone, press Clear saved pages to delete what the app keeps for use without a signal.

The app keeps the pages you opened for seven days so it works without a signal. It deletes them when you sign out, after seven days, and when the event app closes.

Sign out

  1. 1
Press the sign out button in the bar at the top.
  2. 2
Press Sign out to confirm, or Stay signed in to cancel. You need your email code to get back in.

Signing out needs a signal, because it also clears what your phone saved. Offline, the app says You are offline and you can only close the box.

After the event

The app stays open for 90 days after the event's end date. After that, it shows This event app has closed, with the date it closed and a thank you. Everything the app saved on your phone is removed. You can also delete the icon from your Home Screen. Press Email the organiser to write to the event team. If the organiser has no contact set, the button reads Email HAPR support.

Good to know

  • The app works without a signal for pages you have opened. Offline, a line says Saved copy from a time, and it updates when you are online again. The booking reference and your room number only show while you are online.
  • If a screen cannot update, a line says Could not refresh. Press Retry.
  • Pull down on the screen to refresh when the app is installed on your phone. The app also checks again when you return to it after a few minutes away.
  • Each event has its own sign-in. Signing in to one event does not open another.
