Your first steps
Sign in, create your first event and invite attendees to register, in about fifteen minutes.
This page is a first-day path for someone who has just been given a HAPR account. It follows an event you are running, from sign-in to the first registration invitation. Each step links to the full guide for that part.
- 1Go to the HAPR sign-in page, or your organisation's own sign-in page if your administrator gave you one.
- 2Type your work email in Email.
- 3Press Send me a sign-in link. In the installed app the button is Send me a code.
- 4Open the link from the email on the same device, or type the code into the boxes in the app.
HAPR has no passwords. If it says No account found for that email, ask your administrator to add you. See Signing in and creating an account.
Find the hub
After you sign in, HAPR opens the first page that suits your role. If you work with events or sourcing, that is the hub, the list of your workspaces. A workspace is one event, one plan or one sourcing project.
Other pages are on the side menu, such as Hub, Settings and, for administrators, Manage users. See Finding your way around and Roles and page access.
Choose where to start
The hub shows a card for each way to begin. Press Create on the side menu to see all of them at any time.
| You want to | Start with |
|---|---|
| Compare destinations and costs before you commit | Plan a new event. See Planning and choosing a location |
| Look at venues and hotels | Browse venues and rooms. See Explore venues and hotels |
| Ask venues or hotels for bids | Request and compare bids. See Venue sourcing or Room block sourcing |
| Agree yearly hotel rates for business travel | Corporate hotel program. See Hotel transient rate programme |
| Run an event that is already booked | Manage an event. The steps below follow this one |
You only see the cards your organisation is set up for. The rest of this page follows Manage an event.
Create your event
- 1Press Create, then press Manage events on the Manage an event card. A form titled Create a workspace opens.
- 2Type the Event name. The Event ID fills in from the name. You can change it, but choose it with care, because registration links and the event website address use it.
- 3Choose the Type of event and set the Event dates. Add the Venue and an optional Event description if you have them.
- 4Press Create workspace.
- 1Type the event name.
- 2The event ID. It fills in from the name.
- 3Choose the type of event.
- 4Choose the event dates.
- 5Press Create workspace when you are ready.
If you press Create workspace with a gap, HAPR tells you what is missing, for example Enter or generate an event ID or Choose the type of event. See The event hub.
Your event opens on a page headed Let's set up your event. It shows four starting points, Add or import attendees, Configure registration, Email templates and Set up event website. The next steps follow the same order.
- 1Add or import attendees.
- 2Configure registration.
- 3Email templates.
- 4Set up the event website.
Add your attendees
- 1Open Attendee manager from the menu inside the event.
- 2Choose Import list to upload a CSV and match its columns, or Add attendee manually to type one person at a time.
See Attendee manager and Importing spreadsheets.
Set up registration
- 1Open Registration configuration from the event menu.
- 2Choose the questions people will answer.
- 3Press Publish this version to make the form live.
Publish before you invite anyone. HAPR will not send a registration link for a form that is not published. See Registration form setup.
Invite attendees to register
- 1In Attendee manager, tick the people you want to invite.
- 2Open Send email and choose Send Registration Link.
- 3In the Send registration link window, check the number of people and press Send link.
People then show as Invitation sent, and Submitted once they finish. See Invite attendees to register and Emails and messages.
