For anyone choosing a plan 10 min read Updated

The pricing page lists HAPR's plans side by side, with what each includes, how HAPR credits work and calculators for your events and hotel programme. Anyone can open it, signed in or not. Every figure on it is read from HAPR's live price list, so the page always shows today's amounts, in US dollars and before tax. Tax is worked out at checkout.

Find your way around the page

The bar at the top has links that move you down the page. On a phone they appear as a row of buttons under the bar.

If you are signed out, the bar also has Sign in and Start free. If you are signed in, it shows your menu and the side navigation.

Compare the plans

  1. 1
Press Monthly or Annual above the cards. The cards, prices and notes change to match.
  2. 2
Read each card. It shows the price, who the plan is for, the events a year and attendees per event it includes, and the HAPR credits that come with it.
  3. 3
Read the rows under the price for the team size, planning tools, venue and room block sourcing, event management tools and the support you get.
  4. 4
Read the Enterprise card at the end. It has no price. Plans for large organisations are agreed with HAPR.

The page offers a Free Plan, two paid plans and Enterprise. Your own plan, if you have one, shows a YOUR PLAN label.

Choose monthly or annual billing

  • Annual gives you the whole year of events and HAPR credits on the first day. The Annual button shows how much you save against twelve monthly bills, and the card shows the monthly price with the full yearly charge under it. The yearly charge is confirmed at checkout.
  • Monthly adds one month of HAPR credits each paid month and spreads your events across the year. Unused events and credits carry forward to your plan anniversary while you stay subscribed.

The attendees per event, the number of users and unlimited event RFPs are the same on either. Annual corporate hotel programmes are included only on the top paid plan with annual billing.

The page also explains what happens if you cancel, and how to move from monthly to annual to unlock the rest of your year straight away. Part of what you have already paid is credited towards the upgrade.

Understand HAPR credits

The credits section lists what each action costs and the size of each credit pack. The packs show a price for every plan, because a credit costs less on a higher plan.

  • Your plan's included credits and any credits you buy form one balance for your whole organisation. Included credits are used first.
  • You get alerts at 80% and 100% of your balance.
  • When the balance reaches zero, actions that use credits pause until you top up or your next monthly credits arrive. Nothing is deleted. People can still register for your events, and new registrations are held until you top up.
  • Credits you buy stay valid for 12 months, even if you cancel your subscription. Credits included with a paid plan carry forward during your subscription year, up to your plan anniversary.
  • If an action fails completely, its credits go back to your balance. A partial result or an empty search still uses its credits.
  • To avoid pauses, turn on automatic top-up in Billing, plans and credits. It stays off unless you switch it on.

See Quotas and credits for how your allowances are counted.

Estimate what an event would cost

The estimator under Price an event compares your likely cost on each plan, so you can choose before you commit.

  1. 1
Fill in the five fields. They ask for Events this year, counting this one, Attendees, People on your team, Destinations to price and Properties to invite.
  2. 2
Press Event website or Attendee web app to include or leave out those add-ons for the event. Event website is on to start with.
  3. 3
Read the result on each plan. The lowest estimate is marked LOWEST ESTIMATE FOR THIS EVENT.
  4. 4
Press the button under the results to buy the credits it suggests. It says Buy HAPR credits, or the number of credits to buy when the estimate needs extra ones.

The result is an estimate, not a quote. It assumes one AI insight for each destination, one more to compare bids, and about four property searches for each property you invite. The button takes you to the credit purchase page if you are signed in, or to sign-up if you are not.

Work out a hotel programme price

Annual corporate hotel programmes are priced separately from event sourcing. You pay once for each property in the programme, and negotiation rounds, re-bids and counter-offers cost nothing extra. The price per property drops as the programme grows, and the page never charges you more because you crossed into the next band.

You can prepare a hotel programme on any plan without spending credits. Credits are used when you launch the programme.

  1. 1
Open Hotel sourcing and press Calculate your annual hotel programme costs.
  2. 2
Enter the number of properties in the programme.
  3. 3
Choose the plan you would be on. Each choice shows its credit price or, on the annual top paid plan, the properties it includes.
  4. 4
Read the result. It shows the credits, the cost for the programme year and how the bands applied.
  5. 5
Press the buy button to purchase the credits, or press Get in touch when the programme is too large to buy online.

The button is greyed out while there is nothing to buy, for example before you enter a number or when every property is already included in your plan. Enterprise is not offered in this calculator.

Ask for a tailored quote or discuss Enterprise

Three places on the page open a short contact form. HAPR replies by email, and the form never charges anything.

  • Request a tailored quote is in the strip under the cards. Use it if you are outgrowing the top paid plan but do not need Enterprise.
  • Discuss your needs is on the Enterprise card and in the Enterprise panel.
  • Get in touch appears in the hotel calculator for very large programmes. The page also has a link for travel management companies and strategic partners.

To send a request.

  1. 1
Fill in Full name and Email address. Company name and Job title are optional.
  2. 2
For Enterprise, tick at least one choice under What would you like help with?. The choices are Event management, Hotel sourcing, Agency partnership and Other. Then fill in What is the scale of your requirements? and What are your main challenges?.
  3. 3
For the other two forms, write what you need in Message. Events a year, attendees, users and hotels help.
  4. 4
Press Send request. A Request sent message confirms it, and the team reaches out to you shortly. Press Close.

HAPR uses your details only to reply to you. Press Cancel to close the form without sending.

Start a plan

What the plan buttons do depends on who you are.

  • Signed out. Press Start free on the Free Plan, or Choose the paid plan you want. You go to sign-up, and the plan and billing choice are remembered. After you sign up, the pricing page opens on that choice with a message asking you to choose the plan to finish upgrading.
  • Organisation admin on the Free Plan. Press Choose a paid plan. The button changes to Opening checkout… while a secure payment page opens. Pay there to start the plan.
  • Organisation admin with a subscription. The button says Change plan and takes you to Billing, plans and credits. Your own plan shows Your current plan and links to the same page.
  • Anyone else in an organisation. The buttons say Ask your admin to change plan. Only organisation admins can buy or change a plan. See Roles and page access.
  • Organisations on a contract. The buttons say On a contract. Plans on a contract are changed by talking to HAPR.

If you leave checkout without paying, you return to this page with "Checkout was cancelled. Nothing was charged." Once you have paid, your plan shows on the billing page.

Good to know

  • An event counts towards your yearly allowance only when it starts welcoming attendees, which is when someone registers on a public registration form or you send the first registration invitation. Drafts, event websites, venue sourcing and attendee imports before that are free.
  • Only confirmed registrations count as attendees. Replacing one attendee with another never adds to the count.
  • Paid plans include unlimited RFPs, with credits charged for each property you invite. RFPs are for events you run for your own organisation or for clients you serve directly. Hotel contacts may not be exported or resold.
  • Upgrades take effect straight away and the charge is shared out over the rest of your billing period. Downgrades take effect at the end of the period you have paid for.
  • If you cancel, your paid plan stays active until the end of the paid period. Your account then moves to the Free Plan, and your events and data remain. Larger events can stay active by covering the difference with credits.
  • Suppliers and hotels cannot pay to improve their place in your search results.
  • Support is by email on every plan. The paid plans have a reply target in business days, shown on each card.
