Finding your way around
The top bar, the module menu, the user menu and how HAPR works on a phone.
Every signed-in page in HAPR has the same frame. A side menu on the left takes you between areas, a top bar shows where you are, and your user menu sits in the top right corner. What you see depends on your role and on what your organisation uses.
Open HAPR and find your starting page
There is no single home page. After you sign in, HAPR opens the first of these that applies to you.
- 1The landing page set on your role, if your role has one.
- 2The hub, if your organisation uses events or sourcing.
- 3The first dashboard your role allows, checked in this order. Executive Summary, then Travel Bookings, then Business Class.
- 4Executive Summary, if your organisation has dashboards but no hub.
- 5The hub, in every other case.
A landing page set on your role wins over hub access. If your role lands on Executive Summary, you open that, and the hub is still in the side menu. Attendees never open HAPR itself. They use the registration form and the event app. See Roles and page access.
Move around the side menu
The side menu is a slim strip of icons. Hover over it, or tab into it, to read the names. It has three versions.
On the hub and other main pages, you may see these items. Each one appears only if you are allowed to open it.
| Menu item | What it opens | Who sees it |
|---|---|---|
| Hub | Your events and sourcing workspaces | Everyone |
| Dashboard | The travel dashboards | Organisations that use dashboards |
| Admin Panel or Manage users | User administration | Administrators. Only HAPR staff see Admin Panel. Client administrators see Manage users |
| Manual booking entries | Bookings entered by hand | Administrators |
| Billing | Plan, credits and payment | Billing administrators of organisations that are billed through HAPR |
| Settings | Organisation defaults and templates | Everyone can open it. What you can change depends on your role |
Inside an event, the menu changes. Press Go to hub to leave the event and return to your list of events. Workspace overview opens the event's start page. Below them are the event modules.
| Module | What it is for |
|---|---|
| Event overview | Booking progress by team and role, and what the travel has cost |
| Attendee manager | Attendees, statuses, travel requirements, rooms and trips |
| Registration configuration | Build and publish the registration forms |
| Rooming list | The final hotel rooming list and who shares with whom |
| Room block | Hotel rooms by type and by night, against demand |
| Visa management | Track visa needs and progress |
| Shuttle report | Ground transport by airport and date |
| Email templates | Set up emails and automatic messages to attendees |
| Event website | Choose a template, change it and publish a site to share |
| Event mobile app | Set the colour, logo, welcome message and cover of the attendee app. Marked beta |
In the dashboards, press Back to hub to leave. The other items are Executive Summary, Business Class, Travel Bookings and Out-of-Policy. You only see the dashboards your role allows.
If a page is missing from a menu, your role does not include it. Ask your administrator.
Use HAPR on a phone
On a phone, the side menu becomes a bar of labelled tabs along the bottom.
- On the hub the bar shows Hub, Dashboard if you have it, and Create. Admin, manual bookings, billing and settings are left off.
- Inside an event the bar shows Go to hub, Event overview, Attendee manager, Shuttle report and Rooming list.
HAPR first shows Optimised for quick access with the note "You're viewing the mobile experience, designed for essential tasks on the go. Use desktop for the full HAPR experience." Press Dismiss to hide it. Some screens, such as big tables and builders, need a computer. They show Desktop required for this feature. next to the part that cannot be used.
Open your user menu
Your initials sit in a circle at the right of the top bar. Press it to open your user menu. It starts with your name and email address, then lists the items below.
- 1Report an issue. Shown on a phone only. It opens the Help & Support panel.
- 2Admin Panel or Manage users. Shown on a phone only, for administrators.
- 3Incident reports. Opens the reports you have sent. A red number shows how many have changed since you last looked.
- 4Enhancement requests. Opens your enhancement requests. Only organisations on an enterprise plan see it, and not read-only users. See Enhancement requests.
- 5Desktop notifications. Press it to switch pop-up notifications on or off. It shows On, Off or Blocked. Your browser may ask for permission the first time. If it shows Blocked, only your browser's site settings can undo that. The item is missing if your browser does not support notifications.
- 6Your data and privacy. Download your data or ask for your account to be deleted. See Your data and privacy.
- 7Log out. Signs you out.
- 1Report a problem.
- 2Open the reports you have sent.
- 3Open Your data and privacy.
- 4Sign out.
On a phone the menu ends with a version line that starts with "ver.". Quote it if you contact support.
A small red dot on your initials means one of your reports has been updated.
Check your credits
Organisations on a self-serve plan see a credit meter just before your initials. It reads like "959 / 1,000 credits" and shows how many credits are left out of everything granted. Hover over it for the full numbers, for example "959 of 1,000 credits left. 41 used." The bar changes colour when 20% or less is left. On a phone it shrinks to an icon and the two numbers.
If you may open billing, pressing the meter takes you to your credits. If not, it only shows the numbers. See Quotas and credits.
Get help or report a problem
Above 900 pixels wide, Help & Support sits in the top bar beside your initials. Press it to open HAPR help, a chat marked Beta that says "Ask a question, or report something broken." From there you can report an issue. Organisations on an enterprise plan can also send an enhancement request. On a phone, press Report an issue in your user menu instead.
The button is not offered on sign-in pages, registration forms, the event app or the support pages themselves. See Help chat and support and Reporting a problem.
- 1Report something that is broken.
- 2Suggested questions you can press.
- 3Type your own question here.
Use the shared controls
A few controls work the same way everywhere.
- Date pickers let you pick one day or a range. To pick a single day in a range picker, click that date twice. Today, This month and Clear are shortcuts.
- Time pickers have up and down buttons for the hour and minute, and a switch for AM and PM where the picker uses it.
- AI writing help appears in some text boxes. Add a few words, press the AI button, then choose Use this, Regenerate or Discard. If the box is empty, it asks you to add a few words first.
Good to know
- Menu items you are not allowed to use are hidden, not greyed out.
- The side menu opens over the page when you hover. It does not move your content.
- Event modules that are not built yet show Soon and cannot be opened.
Screen reference
Every screen of this feature and the words on it, taken from the platform itself. Open a screen to see its headings, buttons, fields and columns. Words in curly brackets are filled in for you, such as a name or a date.
Messages you may see
When something cannot be done, the platform says why. These are the messages this feature can show.
- The dashboards are not available for this account.
- You don’t have access to this dashboard.
